Approval thresholds
Active- ≤ R 50 000: requester self-approval
- ≤ R 250 000: line manager
- ≤ R 1 000 000: manager + procurement
- > R 1 000 000: + finance director
Mandatory audit comments
Active- Required on approve, reject and request changes
- Minimum 5 characters
- Comments are immutable once recorded
Quote validity
Active- Quotes valid 14 days from issue
- Pricing locked to distributor quote reference
- Expired quotes must be re-requested
Out-of-catalogue requests
Active- Every request reviewed by a Reflex sourcing specialist
- AI output is decision support only
- Sourcing SLA: 24 business hours to first response
Purchase order requirement
Active- A customer PO is required before order submission
- PO number must match the SAP BP reference format
Preferred brands
Draft- Laptops: Dell, HP, Lenovo
- Networking: Cisco, Aruba, Ubiquiti
- Exceptions require procurement approval
